Privacy Policy
Effective date: October 8, 2026
This Privacy Policy explains how DPI Consulting d/b/a The Response Desk (“The Response Desk™,” “we,” or “us”) collects, uses, shares, and protects personal information through theresponsedesk.net and our services. We are a letter-writing and communications service, not a law firm.
Information we collect
- Information you give us through the website. When you use our contact form or book a consultation, we collect your name, email address, phone number (optional), the service you’re asking about, and the message you write.
- Information you give us as a client. To prepare a situation review or a letter, we collect the facts you describe and the documents you send, which may include letters, bills, statements, notices, contracts, and account or reference numbers. Please send only what the work requires.
- Payment information. Payments are processed by Stripe. We receive confirmation of payment and limited details such as the last four digits of a card; we do not store full card numbers.
- Information collected automatically. Like most websites, our site and hosting provider record technical information such as IP address, browser type, pages visited, and dates and times of visits. We do not use third-party analytics. Our site uses only the cookies needed for it to work.
How we use information
- To answer your questions and schedule consultations.
- To prepare your situation review, letters, and other work you hire us for.
- To send you invoices, receipts, and messages about your engagement.
- To keep records of our work, as described in the Confidentiality & Non-Disclosure Agreement you sign as a client.
- To secure and improve our website, and to comply with the law.
We do not use the documents you send us for advertising, and we never sell your personal information.
How we share information
We share personal information only in these situations:
- Service providers who help us run the business, such as website hosting, email, file storage, scheduling, payment processing, and software tools we use to prepare your work. They may use your information only to provide their service to us.
- When the law requires it, such as a subpoena, court order, or lawful government request. Because we are not lawyers, your information is not protected by attorney-client privilege. Where the law allows, we will notify you before disclosing.
- With your permission, such as when you ask us to send a copy of your situation review to your own lawyer.
- If the business is sold or reorganized, to the new owner, who must protect your information as this policy describes.
We do not sell personal information or share it for cross-context behavioral advertising.
How long we keep information
Contact-form messages from people who do not become clients are kept for up to 12 months. Client records, including the documents you send, are kept for seven years after the engagement ends and then permanently destroyed, except when we must keep them longer because of a legal hold, subpoena, or a pending or reasonably expected claim.
How we protect information
We use access-controlled, encrypted storage and limit access to the people who need it to do the work. No system is perfectly secure, so please send only the documents your work requires, and contact us right away if you believe information you sent us has been exposed.
Your choices and rights
You may ask us to tell you what personal information we hold about you, to correct it, or to delete it. We will honor deletion requests unless we must keep the information for a legal reason or to defend a claim, and we will tell you if that is the case. Depending on the state where you live, you may have additional privacy rights under state law; we will honor those rights where they apply. To make a request, email scott@theresponsedesk.net. We will not treat you differently for making a request.
Children
Our website and services are intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child has sent us information, contact us and we will delete it.
Links to other sites
Our website may link to government agencies, courts, legal aid organizations, and other sites. Their privacy practices are their own, and this policy does not cover them.
Changes to this policy
We may update this policy. When we do, we will change the effective date above, and for significant changes we will post a notice on the site or tell current clients by email.
